Vendor Booth Options & Pricing

We provide and set up covered booths with a back wall and partial side walls. Each 10’x10’ booth comes with one 8’ x 30” table and two chairs. Extra tables, chairs, electricity, and refrigeration space available for an additional fee.

* Food & Beverage Sampling Vendors: additional $150 for astro-turf (DuPage Health Dept. requirement).

How to Apply

  2. Click here to submit the Vendor Intake Form
  3. We’ll review your submission and follow up within 3–5 business days
  4. Upon approval, you’ll receive an application form and payment instructions
  5. Full payment required upon receipt of bill. Non-refundable after July 1, 2026.

Important Note for Food & Beverage Vendors

Veggie Fest features a vibrant, volunteer-run food court, which allows us to keep admission and parking free. Food and beverage vendors are not permitted to sell single servings. Instead, you may offer small complimentary samples of vegetarian or vegan products (no alcohol, eggs, fish, or animal ingredients) and sell packaged products for attendees to take home.

Food sampling vendors must obtain a DuPage County Health Department permit. If samples are served in factory-sealed packaging without refrigeration, you may qualify for a waiver. Contact: www.dupagehealth.org or (630) 682-7400.

Vendor FAQs & Guidelines

Vendors are responsible for reviewing all information below. Not reviewing these guidelines is not an acceptable reason for non-compliance.

Does my business meet vendor criteria?

Your business must align with holistic, integrative, natural, or sustainable principles, providing health, wellness, or lifestyle offerings. All products must conform to a lacto-vegetarian diet (no meat, fish, fowl, or eggs) and be peanut-free. Veggie Fest reserves the right to exclude any items deemed inappropriate.

Booth Dimensions

Standard booth: 10’x10’ covered, with back wall and partial side walls. Each includes one 8’ x 30” table and two chairs. You cannot extend displays beyond booth parameters. Need more space? Purchase two booths or a corner booth. Assigned first-come, first-served.

Set-Up & Break Down

  • Food & Beverage Vendors: set-up complete by 9:00 AM Saturday
  • All other vendors: set-up complete by 10:00 AM
  • Event personnel on site from 8:00 AM
  • Load-out begins Sunday at 8:00 PM; all materials removed by 9:30 PM
  • Early breakdown strictly prohibited. Vendors not ready at start may have booth closed/reassigned with no refund.

Signage & Promotional Materials

You are responsible for your own booth sign (recommended: 15” x 48”, max 45 characters). All promotional materials must be distributed from within your booth space only. Sponsor Vendors: please email your logo (JPG/PNG, high-res preferred) to vendors@veggiefestchicago.org.

How This Partnership Promotes the Festival

As a vendor, you become an active partner in promoting the festival. This shared effort strengthens attendance and creates a vibrant event for everyone.

  • Share event posts on Instagram, Facebook, TikTok, X, LinkedIn, YouTube
  • Tag the festival and collaborate on posts, stories, reels, and live content
  • Include festival details in email newsletters and client communications
  • Personally invite customers, clients, and followers
  • Display event signage or flyers at your business

Dress Guidelines

Professional, clean, family-friendly attire required. Food handlers must comply with health and safety dress requirements. Veggie Fest reserves the right to request attire changes.

Vendor Terms & Conditions

By purchasing a vendor booth, you agree to the following terms. Review fully before applying. Questions? Email vendors@veggiefestchicago.org.

Application & Payment

  • Submit completed Vendor Intake Form for approval consideration
  • Application must include vendor’s full legal name as on government-issued documentation
  • Full payment required upon receipt of electronic bill
  • Rental fee non-refundable after July 1, 2026
  • Agreement must be signed and submitted by July 1, 2026 with all fees and required information

Operating Hours & Location

Booths must be fully staffed and open during all event hours regardless of weather: Saturday August 8 and Sunday August 9, 2026, 11:00 AM – 8:00 PM. Booth locations assigned at Veggie Fest’s discretion (Sponsor Vendor Booths may pre-select on first-come basis).

Vegetarian Standards & Advocacy

No sale or distribution of alcohol, meat, fish, fowl, or eggs. All literature may list only lacto-vegetarian or vegan items. All food products must be peanut-free. Vendors may not advise attendees that consumption of meat, fish, or eggs is acceptable. Violation results in immediate removal without refund.

Insurance & Liability

Required for: Food & Beverage Vendors (including packaged items or open samples) and Health vendors providing hands-on treatments. Minimum coverage: $500,000 liability insurance.

Vendors assume full responsibility for claims, losses, theft, damages, personal injury, or property damage arising from participation. Veggie Fest, Science of Spirituality, and their directors, officers, staff, volunteers, and members disclaim all liability except in cases of willful misconduct.

Vendors agree to indemnify and hold harmless the Hosts, including attorneys’ fees and defense costs. In no event shall Hosts be liable for incidental, consequential, or punitive damages, or losses from equipment failure, weather, acts of God, or other causes beyond Hosts’ control.

Security

Vendors are solely responsible for property security at all times. Limited security personnel on duty during the event and overnight Saturday to Sunday; no personnel assigned to individual vendors. Veggie Fest assumes no responsibility for loss, theft, or damage.

Licensing

Vendors must obtain and maintain all necessary licenses. Food sampling vendors with non-pre-packaged items must submit Health Department License by June 30, 2026. Contact DuPage County Health Department: www.dupagehealth.org or (630) 682-7400.
